Privacy policy
How we collect and use the personal data you give us through silent-disco.hk, in line with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong and its Data Protection Principles.

What data we collect
The data you send us with the contact, quote and deposit refund forms (name, email, phone, company, event details and, for the deposit, the bank details for the transfer), the data you give us by WhatsApp, email or phone, and the technical browsing data needed for the site to work (IP address, server logs). We collect only the data that are necessary and adequate for these purposes.
Why we use them
- Answering your requests and preparing quotes.
- Managing the rental or sale, delivery, the deposit and its refund, and meeting our legal, accounting and tax obligations.
- Keeping the site secure and preventing abuse.
We use your data only for these purposes or directly related ones. We do not make automated decisions with your data, we do not sell them and we do not use them for direct marketing without your consent.
Transfers and group companies
To prepare quotes and organise logistics, your data may be processed by Silentsystem group companies in Europe (Italy and Spain). For those companies the EU General Data Protection Regulation (GDPR) also applies. We require every recipient to protect your data to a standard comparable to the Ordinance.
How long we keep them
Enquiries and quotes that do not become a contract: as long as needed to handle them and no more than two years. Customer data: for the duration of the contract and then for the periods required by Hong Kong law, for example for accounting and tax records.
Recipients
We do not share your data with third parties except where required by law. The following may access them on our behalf: providers of services we need (web hosting, email, delivery and logistics) and the Silentsystem group companies mentioned above. If you use WhatsApp, the conversation is also subject to WhatsApp's terms.
Access and correction
You have the right to request access to the personal data we hold about you and to ask for their correction, and you may withdraw any consent given, by writing to hello@silentsystem.com. We may charge a fee that is not excessive for complying with a data access request, as the Ordinance allows. If you are not satisfied with our answer, you can lodge a complaint with the Office of the Privacy Commissioner for Personal Data, Hong Kong (PCPD).
Security
We take practicable steps to protect your data against unauthorised or accidental access, processing, loss or alteration, including encrypted connections (HTTPS) across the whole site.
Changes
We may update this policy to reflect legal or service changes. The version in force is always the one published on this page. Last update: October 2026.
